Resume format: the rules that decide whether your resume is read at all

Section order, length, fonts, margins, and file type — explained clearly.

Format is not a matter of taste. It's how a system recognises your sections and extracts your data. A wrong format means incomplete data in the employer's database and a resume that looks empty to a recruiter even when it's full of content.

This page collects the practical rules: which section order suits your case, how many pages, which font and size, and which file type to upload to each application system.

Key features

Three format types

Reverse-chronological, functional, and hybrid — with a recommendation for your case.

Length rules

One page up to about 8 years of experience, two pages beyond that.

Safe fonts and margins

Standard fonts at 10–12pt with 1.5–2 cm margins.

File type guidance

When to upload a PDF and when the system wants a Word file.

How it works

  1. 1

Pick the format type that matches your career path.

  2. 2

Order your sections and apply the font, margin, and length rules.

  3. 3

Check the final file to confirm it parses correctly.

Why it matters

  • Your data is extracted in full inside hiring systems.
  • A tidy look that supports fast visual scanning.
  • A stable appearance across devices and viewers.
  • Avoids automatic rejection for purely formatting reasons.

The standard section order

Contact details, then summary or objective, then work experience newest-first, then education, then skills, then certifications and languages. Graduates put education before experience.

File type: PDF or Word?

PDF is the default because it preserves your layout — as long as it contains real text and isn't a scan. Some older application systems explicitly ask for Word; in that case upload exactly what they request.

Name the file with your name and the role, e.g. Ahmed-Ali-Sales-Manager.pdf — it makes your file easy for a recruiter to find later.
